Why are we having the banquet at the Holiday Inn Gaithersburg?

As we have for all of our other swim activities, banquet organizers needed to identify a different venue for the banquet this year. After reviewing many different options, the committee and board decided the Holiday Inn Gaithersburg provided the best value to the team. Benefits include: a climate-controlled ballroom for up to 350 people, free parking, a catered dinner at an exceptionally reasonable price, cash bar, and a discounted room rate.

What does the per person fee include?

The per person fee includes a climate-controlled venue, DJ, dinner, dancing, awards and free parking.

Why must parents and swimmers register first before non-swimming siblings and other guests?

The Holiday Inn Gaithersburg can only accommodate up to 350 people. In the past, we have averaged more attendees than this number. Our first priority is to ensure parents and swimmers can enjoy the evening together. If space allows, we will open registration to non-swimming siblings and then other guests (grandparents, friends, etc.).

Can I bring my own alcohol or food?

No. Food and alcohol must be purchased from the Holiday Inn Gaithersburg.

What about children who are 2 and under?

Lap children, those 2 and under, may attend for free. However, keep in mind, high chairs will not be available.

Can I attend just for the awards ceremony and not dinner?

Yes, but everyone who attends will still need to pay the cost per person as it includes the entire evening's activities.

How can I pay?

Our preference is for everyone to pay online via PayPal (available through the event RSVP online). Additionally, you may pay Jennifer Strohm ([email protected]) by check by giving it to her in person an event. All payments are due by Friday, July 12. No cash please.

What if I have food allergies?

We are working with the Holiday Inn to take into consideration gluten, dairy, peanut and tree nut allergies as well as special diets such as plant-based diets. If you have a dietary question or requirement, please contact [email protected].

What will be the schedule for the evening?

5:30-6 p.m. Registration and Reception (Hallway and pool area)

6-7 p.m. Dinner (Ballroom)

7-8:30 p.m. Awards Ceremony (Ballroom)

8:30-11 p.m. DJ and Dancing (Ballroom)

What volunteer opportunities are there?

Because we are hosting the event in a venue, we need very few volunteers! Please contact Jennifer Strohm ([email protected]) if you are interested in helping with the evening.

Will there be seating assignments?

We anticipate there will be 35 tables of 10 seats each. If a group of 10 would like to sit together, you can sign up on our Google Spreadsheet (https://docs.google.com/spreadsheets/d/1YTO0t8IOe3xydqcvEfilV65xc6oSKzbzsSdWIDzCN94/edit?usp=sharing)

to indicate your preference for a reserved table by Friday, July 12.However, you can also just show up and find a seat that evening too. It is not a requirement to reserve a table in advance.

Can I stay overnight? Is breakfast included?

Yes! Room are available at a special rate of $95/night.

Breakfast is not included, but the hotel does have a restaurant that serves breakfast.

Where can I park? Is there a fee?

There is free self-parking in the hotel parking lot.

Can I be refunded my fee if I can't attend at the last minute?

No. Once we receive your RSVP we will include your reservation with the hotel. All payments are due by Friday, July 12. No refunds or cancellations.

Can I RSVP after July 9 or pay at the door?

No. Unfortunately we will not be able to accommodate parents and swimmers who RSVP after July 9 because we will make available any remaining seats to non-swimming siblings and other guests until we reach 350.
